Terms of Service

Draft pending legal review. This document describes how the Velobiz platform currently works so you know what you're agreeing to. It has not yet been reviewed by a lawyer and will be replaced by a reviewed version before general release. If anything here matters to your decision, please talk to us first.

1. What Velobiz provides

Velobiz provides an AI assistant ("your AI employee") that answers calls, replies to messages, captures leads, and books appointments on your behalf, together with a web dashboard for managing it. Availability depends on third-party services we build on, including telephony, calendar, email and AI model providers.

2. Your account

  • You must give accurate business details, and keep your contact details current.
  • You are responsible for activity under your account and for keeping your password secure.
  • You must be authorised to act for the business you register.
  • One account represents one business. Tell us before using it for multiple entities.

3. Reading your website

During setup we fetch pages from the website address you give us and use them to pre-fill your configuration and to train your assistant's knowledge base. By entering a website address you confirm you are entitled to let us do that. We only read pages that are publicly reachable, we identify ourselves in our requests, and we do not attempt to bypass logins, paywalls or access controls.

4. How your AI employee behaves

Your assistant answers from the configuration and knowledge you provide. It can make mistakes. You remain responsible for what it says on your behalf, for reviewing its output, and for any commitments made to your customers through it. Do not use it where an error would cause harm — including emergency, medical, legal or financial advice.

5. Calls, messages and consent

You are responsible for complying with the marketing and privacy laws that apply to you, including the Australian Privacy Act 1988, the Spam Act 2003 and the Do Not Call Register Act 2006. Our platform records consent and honours opt-outs, but the legal obligation to contact people lawfully is yours. Call recording, where enabled, requires you to notify callers as your jurisdiction requires.

6. Acceptable use

You agree not to use Velobiz to:

  • send unsolicited bulk marketing, or contact people who have opted out;
  • impersonate another business or person;
  • handle payment card data, or health or credential data we haven't agreed to support;
  • break the law, or infringe anyone's rights;
  • probe, overload or interfere with the platform or the networks behind it.

7. Fees

Paid plans are billed in advance in the currency shown at signup. Usage-based charges — such as call minutes and messages — are billed in arrears. We'll tell you before prices change. Unpaid accounts may be suspended.

8. Your data

You own your business data, your customer records and your content. You grant us the licence needed to operate the service for you — storing, processing and transmitting that data, including through the third-party providers we use. You can export your leads and close your account at any time; see the Privacy Policy for retention periods.

9. Availability

We aim for high availability but do not guarantee uninterrupted service. We may perform maintenance, and we depend on third-party providers whose outages affect us. Where we offer a service-level commitment it will be stated in your plan.

10. Ending the agreement

You may cancel at any time from your dashboard or by contacting us; cancellation takes effect at the end of your current billing period. We may suspend or terminate an account that breaches these terms, or where required by law. On termination we stop processing and delete your data according to the retention periods in the Privacy Policy.

11. Liability

Nothing here excludes rights you have under the Australian Consumer Law that cannot be excluded. Subject to that, our liability for any claim is limited to the fees you paid us in the twelve months before the claim, and we are not liable for indirect or consequential loss, including lost profits or lost business.

12. Changes

We may update these terms. We'll give notice of material changes by email or in the dashboard before they take effect. Continuing to use Velobiz after that means you accept the updated terms.

13. Governing law

These terms are governed by the laws of New South Wales, Australia, and the courts of that state have non-exclusive jurisdiction.
